Data controller is the entity that will make the decisions about how your data is used and that is responsible for deciding how it holds personal information about you.

By accessing and utilising HR ComCom service, you acknowledge that you have read and understood this Privacy Notice and the personal data information collection and handling practices outlined in it. Personal data means any information about an individual from which that person can be directly or indirectly identified. 

Collection of your personal data

We collect personal data you give us directly but we also collect data by logging how you interact with our services. When using the service, we automatically collect information, including personal information, about the services you use. We automatically collect log data and device information when you access and use HR ComCom service, even if you have not joined or logged in. 

The personal data we collect about you may include, but is not limited to: your name, email address, user id, postal address, phone number, payment information, survey responses, booking details and other information you may provide about yourself through use of HR ComCom service. We also collect information about your session data, including IP address and web browser software. We collect this type of information to try to better understand your interests and preferences and personalize your experience.

The financial data is managed by independent external parties. The external party satisfies the legal requirements to offer and execute online payment services for individuals and companies.

We may collect information, including personal information, that others provide of you when they use HR ComCom service (comments, discussion, ratings, etc). We do not control or respond for how the third parties process your personal data, and any information request regarding the disclosure of your personal information to us should be directed to such third parties.

You can choose not to provide us with your personal data. However, you need to provide us with certain information about you in order to take advantage of HR ComCom service’s features. 

We may collect information via cookies and other similar technologies. Cookies are small text files that are automatically placed on your computer or mobile device when you visit HR ComCom website. They are stored by your internet browser. Cookies contain basic information about your use of the internet. Your browser sends these cookies back to our website every time you visit it, so it can recognise your computer or mobile device and personalise and enhance your browsing experience.

Purpose of processing

We will only use your personal information when the law allows us to.

We use the personal data that we collect only for specific purposes. We use, store and process information, including personal information, about you to provide, understand, improve, and develop HR ComCom service. We also use, store and process information to improve our marketing and advertisement as well as to comply with our legal obligations or such processing is necessary for our legitimate interests.

Data sharing

HR Commercial Community Oy may share your information with other parties, including third-party service providers who provide services or functions on our behalf, including business analytics, payment processing, customer service and marketing. We may also authorise third-party service providers to collect information on our behalf, including, for example, as necessary to operate features of HR ComCom. We may offer services in conjunction with other business partners. If you choose to access these optional services, we may share information about you with those partners. We do not control the privacy practises of third-party business partners.

If we are legally obliged to do so, we will share personal data to protect the users, HR ComCom service, as well as our company and our rights and property.

Data retention

We will only retain your personal information for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.

To determine the appropriate retention period for personal data, we consider the amount, nature, and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure of your personal data, the purposes for which we process your personal data and whether we can achieve those purposes through other means, and the applicable legal requirements.

We may anonymize your personal information so that it can no longer be associated with you, in which case we may use such information without further notice to you.

Your rights

In accordance with applicable law, you may have the right of access, the right of rectification, the right to erasure, the right to object, the right to restrict processing and the right to data portability. Below you can find more details and information on how and when you can exercise your rights. HR Commercial Community Oy will respond to your request within one month, but have the right to extend this period with three months.

The right to request access to your personal data. This enables you to receive information and a copy of the personal data we hold about you and to check that we are lawfully processing it.

The right to request to correct your personal data if it is inaccurate. You may also supplement any incomplete personal data we have, taking into account the purposes of the processing.

The right to request deletion of your personal data if your personal data is no longer necessary for the purposes for which we collected or processed them. You can also withdraw your consent if the processing of your personal data is based on consent and no other legal ground exists. 

The right to object the processing of your personal data if you feel it impacts on your fundamental rights. In some cases, we may demonstrate that we have compelling legitimatte grounds to process your information which override your rights and freedoms.

The right to restrict the processing of your personal data when a) the accuracy of your personal data is contested by you, or b) the processing is unlawful and you oppose the deletion of your personal data and request restriction, or c) we no longer need your personal data for the purposes of processing, but your personal data is required by you for legal claims, or d) you have objected to our use of your data but we need to verify whether we have overriding grounds to use it.

The right to request the transfer of your personal data to you or to a third party. HR Commercial Community Oy will provide to you, or a third party you have chosen, your personal data in a structured, commonly used, machine-readable format. Note that this right only applies to automated information which you initially provided consent for us to use or where we used the information to perform a contract with you.

You will not have to pay a fee to access your personal data. However, we may charge a reasonable fee if your request is clearly unfounded, repetitive or excessive. We may need to request specific information from you to help us confirm your identity and ensure your right to access the information (or to exercise any of your other rights). 

Data protection

HR Commercial Community Oy is committed to protecting the privacy and security of your personal information, in accordance with the applicable privacy legislation.

Our data protection principles:

  1. We use data only lawfully and in a transparent way.
  2. We collect data only for valid purposes.
  3. We clearly explain the purpose of the data processing.
  4. We focus on data breach prevention. 

We have put in place appropriate security measures to prevent your personal information from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal information to those employees, agents, contractors and other third parties who have a business need to know. 

Third-party links

HR ComCom service may include links to third party websites, plug-ins and applications. If you access other websites or services from the links provided on HR ComCom, the operators of those websites or services may collect or share information about you. This information will be used by them in accordance with their privacy policy, which may differ from this Privacy Notice. We do not control these third-party websites or services and recommend that you examine the privacy statements posted on those other websites or services to understand their procedures for collecting, using and disclosing personal data.

International transfers

When necessary and to the extent required for the successful provision of HR ComCom service, personal data may be transferred to third parties outside of EU/EEA. HR Commercial Community Oy shall not transfer personal data outside of EU/EEA without adequate safeguards required by applicable data protection law, such as standard contractual clauses.
